The chair read the board pack on Friday. At Tuesday's meeting the same link shows a different profit figure, but the commentary on margin is still there. Meeting time goes into reconstructing what people saw when they prepared.
A monthly board pack serves a different purpose from a live dashboard. Directors need to be able to revisit the figures and commentary used for a decision even after new entries reach the finance system.
Start with the question coming to the board
If the decision is whether to hire, a chart of last month's sales goes only so far. Directors may need a cash forecast with and without the role, the expected date of the next major customer payment and a named owner for the assumptions.
Then choose the recurring pages. Results against budget, cash and a small number of operating measures can form the core. Put detail in an appendix and assign an owner to each requested decision. The chair can see what requires a decision while setting the agenda.
A late invoice after Friday's circulation
Suppose the approved pack shows operating profit of SEK 420,000 on Friday. On Monday, finance adds an omitted cost of SEK 30,000 to the same period, bringing profit to SEK 390,000. Last month's profit was SEK 350,000. The month-on-month improvement fell from SEK 70,000 in Friday's pack to SEK 40,000 after the correction. Compared with Friday's reported figure, profit is down SEK 30,000.
| Question | Calculation | What the reader needs to know |
|---|---|---|
| How did we perform against last month? | 390,000 − 350,000 = +SEK 40,000 | Compare the results for the two periods. |
| What changed since circulation? | 390,000 − 420,000 = −SEK 30,000 | An additional cost came in for the period under review. |
Decide who signs off the pack
A first release could produce a draft that retrieves actuals and budget at an agreed cut-off. Finance reconciles the totals, owners comment on exceptions and the person responsible for meeting papers approves circulation. Save the approved document with its reporting period, version and issue time.
If a source is missing, notify its owner before circulation. The approver can decide whether to hold the pack or proceed with the gap clearly marked. Share the approved version with the directors and authorised attendees, and review access when someone changes role.
Common questions
Do we have to replace our current PowerPoint or PDF template?
No. An existing template helps identify which tables can be populated automatically and where management needs to add commentary. A practical first check is to recreate a previous pack and compare its figures page by page.
What if we cannot explain a variance before circulation?
Show what changed, who is investigating and when directors can expect an update. If the pack includes a possible explanation, make it distinguishable from what has been confirmed.
